Your business grew.
Your systems didn’t.
We find the gaps that open up when customers, teams and partners grow faster than the systems supporting them. Then we fix them, with the right mix of automation, integrations, AI and custom software.
Growth creates gaps. Most are invisible until they cost you.
Nobody designs a leaky operation. It happens one hire, one customer, one workaround at a time — until the systems that carried you to this size start holding you back.
Enquiries slip through
Leads land in inboxes, follow-ups depend on memory, and response times stretch. Every missed follow-up is revenue you already paid to generate.
Handoffs run on chasing
Work moves between people, teams and systems by email and goodwill. Data gets retyped, updates get chased, and the same questions get asked twice.
Management flies blind
Reporting is stitched together by hand at the end of the month. By the time you see a problem, it has been a problem for weeks.
AI without a plan
Some of the team use AI, some don’t, and nobody knows what’s safe, what’s wasted, and what could actually change how the business runs.
Fix the workflow first. Then build the system.
Most agencies start with tools. They automate your processes exactly as they are today, and charge accordingly. The result is usually a faster version of the same mess.
We start with the workflow. Before anything gets built, we find out where time is actually lost, where quality is at risk, and where the way you work today creates work of its own. Then we build. Only where the numbers make sense.
Start with the Operations Workflow Report.
Our fixed-price starting point. In one to two weeks, we review the main acquisition, delivery and support workflows across your business. We talk to the people doing the work, map how things actually run — not how the org chart says they run — and put a number on what each gap costs.
What we review
- How leads and enquiries are captured, distributed and followed up
- How work moves between customers, your team and your partners
- How information, documents and updates are collected and shared
- How performance and activity are reported to management
- How repetitive administration is handled across the business
- How software and AI are currently used — and where they aren’t
What you get
- Where the main workflow leaks are, ranked by what they cost
- Which processes should be simplified or standardised
- What can be automated
- Where AI could improve speed or consistency
- Where systems need to be integrated
- Where custom software may be required
- The likely time saving and ROI of fixing each area
The deal: the Report is standalone and the findings are yours — implement with us, with someone else, or in-house. If you do build with us, 100% of the Report fee is credited toward the implementation.
Get your Workflow ReportThen we build — with whatever the job actually needs.
The Report tells us what to fix. These five capabilities are how we fix it. No tools for the sake of tools — the right ones, connected properly.
Automation
Repetitive admin — data entry, document generation, status chasing — handled by machines, reviewed by people.Integrations
Your existing systems talking to each other, so information is entered once and flows everywhere it’s needed.AI
Applied where it genuinely improves speed or consistency: drafting, summarising, triaging, extracting — with clear boundaries on what it may and may not touch.Software configuration
Getting real value out of tools you already pay for, before anyone suggests buying new ones.Custom code
When nothing off the shelf fits, we build it — lightweight, documented, and owned by you. What implementation looks like
- Short sprints (2–8 weeks) with weekly check-ins — you see progress every week
- Everything tested in a safe environment before it touches production
- Documentation written as we build, not after
- Controlled rollout: a small group first, then scale
What it delivers
Cleaner handoffs between people and systems. Faster response times to customers and partners. Better visibility for management. And less admin for everyone.
Your team runs it. We make sure they can.
Systems only work if people use them. Every rollout comes with SOPs, hands-on training and complete documentation, so your team can run, troubleshoot and improve what we build without calling us. You shouldn’t need us forever. That’s by design.
The AI Accelerator
A practical AI education programme for teams that want to go further: what to use AI for in daily work, what to avoid, how to keep usage safe and consistent across the business. Runs as part of an implementation or as a standalone programme.
- Live, hands-on sessions built around your team’s real work — not generic demos
- Clear guardrails: what’s safe to put into AI tools and what never is
- Champions identified and trained, so capability stays in the building
Work with us at the level that fits.
Operations Workflow Report
1–2 weeksThe diagnosis. Workflow review, leak analysis, prioritised roadmap with ROI per fix. Fixed price, fully credited toward implementation.
Implementation Sprints
2–8 weeks eachThe build. Automation, integrations, AI and custom code from the roadmap — with training, documentation and controlled rollout included.
Managed Care
Ongoing, optionalThe support. Monthly retainer for monitoring, improvements and priority help as your business keeps growing. Cancel any time.
No long-term contracts. Each stage is standalone — you continue because it’s working, not because you’re locked in.
If the business case doesn’t stack up, we’ll say so. We’d rather tell you not to spend the money than build you something that doesn’t pay for itself.
That’s what an honest partner does.
Most of this work can be grant-funded.
Across Europe, SMEs can access substantial national and EU funding for AI, automation and digital transformation. For Irish-based businesses, individual grants range from €2,500 to €250,000, with R&D tax credits of up to 35% of eligible expenditure.
What we help Irish businesses with
- Identify the right grants for your company size and sector
- Complete the Digital for Business assessment (free prerequisite)
- Prepare applications with the required technical documentation
- Navigate Enterprise Ireland and Local Enterprise Office requirements
- Maximise R&D tax credit claims

Not based in Ireland? Get in touch — Dutch digitalisation funding, German KfW programmes and EU instruments exist too, and we’ll point you in the right direction.
From first call to a system your team runs.
Discovery call 30 minutes
What’s actually broken, what you’ve tried, and whether we’re the right fit. We’ll tell you honestly if we’re not. No obligation.
Operations Workflow Report 1–2 weeks
We map your main workflows, interview the people doing the work, and deliver a prioritised roadmap: what to fix, in what order, and what each fix is worth.
Implementation sprints 2–8 weeks per sprint
We build from the roadmap with weekly check-ins, testing in a safe environment, and documentation as we go. Nothing touches production untested.
Training, handover, review
Your team gets SOPs, hands-on training and full documentation. After 30–60 days live, we review actual results against projected ROI and decide together what, if anything, comes next.
Frequently asked questions
What is Flowline Operations?
An independent AI and operations partner for growing businesses. We find where your workflows lose time and money, then fix the gaps with automation, integrations, AI and custom software — and train your team to run the result.
What makes you different from other consultancies and automation agencies?
Two things. We fix the workflow before we build the system — most agencies automate the mess as-is. And we’re vendor-independent: you own everything we build, and we only recommend what the business case supports.
What is the Operations Workflow Report?
Our standard starting point. A one-to-two-week review of your main acquisition, delivery and support workflows that identifies the leaks, what each one costs, and the ROI of fixing it. It’s standalone — commissioning it commits you to nothing — and the fee is fully credited if you implement with us.
Do we need new software?
Usually not. Most of the value comes from connecting and configuring what you already have, automating the handoffs between systems, and adding AI or custom code only where it earns its keep.
What is the AI Accelerator?
A practical AI education programme for teams: what to use AI for in daily work, what to avoid, and how to make usage safe and consistent across the business. It runs alongside an implementation or on its own.
Who do you work with?
Businesses that run on process and are growing past their systems — professional services, trades and field operations, manufacturing and technical product companies, dealer and partner networks, clinics, agencies.
How is this different from hiring an operations manager?
An ops manager runs your operation; we upgrade it. Most clients get a scoped diagnosis and working systems for less than the first months of a senior hire — and what we build keeps working after we leave.
How much does it cost?
The Workflow Report is fixed-price, quoted on the discovery call based on the size of the review. Implementation is scoped from the Report, so you know the cost and the expected return before committing. Many projects qualify for 50–80% grant funding.
Do I need a long-term contract?
No. The Report is standalone, sprints are scoped individually, and Managed Care is a monthly arrangement you can cancel. We’d rather earn the next engagement than lock you into it.
Can you help with grant applications?
Yes — we assess eligibility, prepare the technical documentation and position the project correctly. The application itself is submitted by your business, as the funding bodies require.
How quickly will we see results?
The Report lands in one to two weeks. Most implementation sprints show measurable results within the first quarter, and automation projects typically pay for themselves in under 18 months.
What if we already have systems in place?
Good — we work with them. The focus is on fixing workflows and handoffs, not replacing technology you’ve already paid for.
